Note that there are three meetings in the 2003-2004 year because

of the decision made in Dec 2003 to change the fiscal year to match

the budget year, i.e., the new terms of office and fiscal year start

on July 1, 2004.

Meeting Policies

The following bullet points represent the essence of  a memo entitled Block Vote Trial circulated on April 26, 2002, as well as the spirit of Council meetings in general.

Submission of agenda items

  • Materials are to be submitted electronically to the Secretary at least 2 weeks prior to the meeting date.
  • Items should include at least one motion.
    • Items without supporting documents will be deleted in preparing the final documents for the meetings.
  • Those Council members submitting items for discussion should indicate the length of time needed for the discussion.

Block Voting

  • Items that do not require discussion will be submitted as a block for voting early the meeting.

  • Items for block voting should be so specified 10 days before the meeting. 
  • A member of Council who believes that any item submitted for a block vote should be discussed should notify the Secretary five (5) days prior to the meeting.

Availability of Meeting Documents

  • All materials will be available via this web site 4 days prior to the meeting date (see under "agenda").
  • Council members are responsible for preparing their own set of meeting documents.
